Background: This was the first Erasmus + project implemented by RIT Croatia, a HE institution with two campuses in Croatia: Dubrovnik and Zagreb. RIT Croatia is part of the global campus with its mother institution being Rochester Institute of Technology (RIT) from Rochester, NY in the USA. Objectives: 1) To facilitate 2 student exchange mobilities (SMS) 2) To facilitate 2 student traineeship mobilities (SMP) 3) To gain administrative competence in order to successfully organize mobilities Number and profile of participants: 1) We facilitated 2 student exchange mobilities (2 females, both 2nd year) 2) We facilitated 5 student traineeship mobilities (3 males, 2 females, two 4th year, two 2nd year, one 1st year) Description of undertaken activities: 1. Attending coordination meetings Erasmus Coordinator has participated in all relevant meetings organized by the Agency for Mobility during the implementation phase of the grant. The meetings were held in Zagreb, Osijek and Dubrovnik. All were very useful in order to build the administrative competence and network of contacts. 2. Dissemination of information Information was disseminated to students during several information session held in Dubrovnik and Zagreb campuses. The information dissemination efforts were intensified immediately before and after the Call of Application was released and prior to the completion of the Application process. Erasmus Coordinator was also available for one-on-one meetings and telephone conversation. Part of the communication was kept via email. Information was also timely published on RIT webpages and RIT Croatia's electronic bulletin boards. 3. Calls for Application The Calls were issued in the following order: 1) October 15, 2014 - Call for Applications for Traineeships (14 students applied - 1 application approved - 13 applications were incomplete). The approved student decided to drop. 2) October 15, 2014 - Call for students with Financial Needs (No one applied) 3) October 15, 2014 - Call for Candidates with Disabilities (No one applied) 4) November 7, 2014 - Call for Applications for Student Exchange (1 student applied - 1 approved - student decided to drop) 5) March 9, 2015 - Call for Application for Traineeships (7 students applied, all applications valid, 5 students approved funding) 6) March 9, 2015 - Call for Applications for Student Exchange (3 students applied, all applications valid, 2 students approved) 7) March 11, 2015 - Call for Candidates with Disabilities (No one applied) 8) March 11, 2015 - Call for Students with Financial Needs (No one applied) 4. Administration of Calls for Application Approving Committees were set of four members in all cases. Every student was individually evaluated by each Approving Committee member. The average cumulative grade was set as the final grade for ranking. Ranking was analyzed, approved and signed by each committee member. The results were made available on the official webpages and all supporting documents made open for verification. Two students request access to documents which was duly afforded. 5. Cooperation with Students before, during and after mobility We are very happy to report that all activities went without frustration or delays. Our students and partners were extremely cooperative and professional. 6. Filing All hardcopy files are kept in the Erasmus Coordinator office which is kept properly secured and locked. Copies pertaining to finance are also kept in the finance department. Electronic document are kept in the Erasmus Coordinator's computer which is properly protected by firewall and antivirus systems. 7. Other activities We also afforded assistance to incoming students on exchange from partner institutions. This work was also extremely smooth. Minor issues have been experienced with delays with the issuance of student food ration cards.
